ctcLink Student Help & Resources

Bellingham Technical College moved to a new system for student data, registration, and self-service called ctcLink on Monday, October 25, 2021. While we’ve all grown accustomed to our current system, it uses outdated technology that doesn’t offer the integrated online services you need. This new system, ctcLink, offers many services online in a mobile-friendly way. Watch your email for additional important information.

What are the benefits of ctcLink to me as a student?

The move to ctcLink will help you better manage your entire college experience. Using the new online student center, you'll be able to do the following 24/7 from your mobile device, laptop, or home computer:

  • View or update your student information and manage personal contact info.
  • Register for classes, add, and drop.
  • Pay tuition and fees and handle financial aid processes.
  • View grades, track academic goals, and apply for graduation.
  • Register for specific courses that apply to remaining program requirements.
  • Contact your instructors or advisor.

If you are a current student, you will receive an email with a link to activate your ctcLink account be assigned a new ID number beginning November 15, 2021. This will be a ctcLink ID—and, after launch, all new incoming students will receive a ctcLink ID. With this new ID, you will have one login to access your information across Bellingham Technical College as well as at all Washington community and technical colleges. If you transfer in from or out to another community or technical college in Washington state, you will be able to use that same ID to access your information, which will follow you.

What can you expect during the transition?

    Reduced Services During Transition

  • October 1, 2021 Walter Hudsick, Interim President Update

    Hello BTC Students,

When we move to our new data system, ctcLink, starting on Monday, October 25, 2021, the changes will make the way you access your Bellingham Technical College information more user-friendly. You will have a more comprehensive and consistent experience.

The preparation for and transition to ctcLink will affect the services you'll be able to access. During the time we change systems, access to your current student account and many student services will be unavailable. We've made every effort to minimize the impact on students, but this is necessary to make sure everything is accurate and running smoothly as we move from the old system to the new system.

NOTE: You will still have full access to your coursework in Canvas. Canvas will NOT be interrupted by our transition to ctcLink.

The following are important dates to mark on your calendars:

Funding disbursements paused between October 8 and November 16
Due to the transition to ctcLink, financial aid, scholarships, Workforce and other funding disbursements will not occur between Friday, October 8 and Monday, November 16. Documents and requests for funding should be submitted to Student Financial Resources by 5 p.m. on October 1. Financial aid application processing and funding disbursements will resume after Tuesday, November 16.

Cashiering in-person/phone transactions paused between October 1 and December 5
Student online payments will be available until October 6. Cashiering services will begin again on Monday, December 6 using the new ctcLink system.

Access to your online student account and records paused from October 15 to November 15
Please be aware that you will not have access to your student account and records using our current systems, MyBTC Portal, from Friday, October 15 until Monday, November 15. This period of time is required to transfer our current data systems into ctcLink and ensure the information is intact and accurate. You will still have access to Canvas, Office365 and remote access to computer labs.

Various student services may not be available October 22 to November 1

Several offices will be closed Monday, October 25 through Friday, October 29 to focus on the transition and ensure the data transfer was successful. They include Cashiering, Admissions, Business Offices, Registration & Enrollment, Financial Aid Offices, and Payroll.

We understand moving to a new system will limit service temporarily, and we hope you will be patient with everyone as we all learn to work with ctcLink together. We will keep you informed of the things you'll need to do as well as other important details about this transition, including resources, tutorials, and information sessions to help you navigate and use ctcLink.

Please continue to watch for important emails about ctcLink and read them. As always, if you want more information, refer to the ctcLink for Student Information website at: Student Help and Resources.

  • September 29, 2021: Executive Sponsor Message

    Dear College Community,

Our college is getting so close to Go-Live with ctcLink. If all goes as planned, we will be live on the new system in 18 working days! If you haven’t already, you have training to do! Now is the time for you to prepare yourself for ctcLink. This training needs to be completed by October 15th.

Beyond your own preparation for ctcLink, I want you to know about the decision-making process to Go-Live with ctcLink because it’s coming fast!

    1. Readiness indicators: The Project Team is finishing up our Readiness Indicators this week and we will be sharing this status with the Washington State Board for Community and Technical Colleges (SBCTC) ctcLink project team to review our readiness to go live with ctcLink next week. We aren’t 100% ready yet, but we are getting REALLY close!

    2. BTC ctcLink Project Team is ready to Go-Live! Our ctcLink Project Team reviewed our readiness indicators today and determined that we do expect to be ready to Go-Live on October 25th. Later this week, Interim President Hudsick will make the decision to move this recommendation forward based on his review of the readiness activities, and the Project Team recommendation.

    3. Washington State ctcLink Steering Committee decides to Go-Live/No Go-Live: The Washington State ctcLink Steering Committee—comprised primarily of ctcLink executive sponsors from colleges throughout Washington State (including me!), commission representatives, and SBCTC leaders—will consider the colleges’ decisions in our deployment group as well as the completion of readiness activities. Next Tuesday, October 5th the Washington State ctcLink Steering Committee will make the Go/No Go decision.

The SBCTC ctcLink project team is supporting us to become ready and will partner with us through the go live activities. I feel confident in this process and grateful for SBCTC’s support.

While we’ve officially finished the last User Acceptance Testing (UAT) Sprint, the Project Team and Subject Matter Expects are still finalizing some testing through the next couple of weeks. Please show gratitude for those doing this work by thanking them and being patient if communications and responses are slower than usual. I appreciate the significant work and sacrifice required to get us where we are today. Thank you!

  • Student Email September 27, 2021

    Dear BTC Students,

Welcome back. To help your planning for Fall Quarter 2021, we want to make you aware of a significant change coming in October. On October 25, 2021, BTC will move to a new system for student registration and self-service called ctcLink.

This quarter, Bellingham Technical College will change our student technology and data systems to ctcLink, and MyBTC Portal will convert to MyBTC, a new gateway with new features and resources.

While we’ve all grown accustomed to our current system, it uses outdated technology that doesn’t offer the integrated online services you need. Our new system, ctcLink, offers many services online in a mobile-friendly way.

This email is the first in a series of emails you will receive with information about our move to ctcLink. We ask you to please pay close attention to information in these emails, as this transition will affect every student attending Bellingham Technical College.

The following are important upcoming dates for you to keep in mind.

    • Fall Quarter Registration MUST be Completed by October 1. This includes all classes starting after this date.

Important Financial Aid Deadlines Are Below:
All documents and requests for funding must be submitted by Friday, October 1st. Documents received after this date will not be processed until November when our new system is in place.

No financial aid of any kind (grants, loans, scholarships and emergency funding) will be disbursed to students between early-October and mid-November.

IMPORTANT: Check your status in the Financial Aid Portal to see if any documents are required and submit them by the October 1st deadline.

    1.    Log into your Student Financial Aid Portal at: https://www.fas.ctc.edu/portal3/?col=250#https://www.fas.ctc.edu/portal3/?col=250

    2.    Your Username is your Social Security Number and your Password is your six-digit date of birth (MMDDYY).

    3.       Under the “Information We Need From You” section, review items that do not display a date in the Date Received column.

If you need assistance checking your status, contact Student Financial Resources during regular office hours. Student Financial Resources is open for in-person service Mondays and Thursdays 8 a.m. to 5 p.m. in the College Services Building, Room 101. We are available by phone at 360.752.8351 on Tuesdays and Wednesdays 8 am to 5 pm.

Cashiering Transactions Unavailable Between October 1 and December 5
The last day for student and department cashiering transactions in the business office is Thursday, September 30. Cashiering services will begin again on Monday, December 6th using the new ctcLink system.

Winter class information and registration times will be available online Wednesday, November 17
As we look ahead, be aware that the Winter Quarter class schedule and registration times will be available to preview online for your planning purposes on Wednesday, November 17.

Use BTC’s Calendar to Plan Ahead for Winter Quarter

Be sure to continue to check important registration dates and deadlines at www.btc.edu.

It is Imperative to Keep Watching Your Email for More Important Information
Look for regular email updates as we get closer to our “go live” date of Monday, October 25, 2021.

We’ll work to keep you informed of the things you’ll need to do and the important dates when services may not be available due to the transition. We’ll also let you know about online information and drop-in sessions that we are planning to help answer questions and guide you through the transition to ctcLink.

While we understand moving to a new system may cause some frustration at first, we hope you will be patient with everyone as we learn this system together. We are committed to meeting your needs during the transition and ask for your patience as employees are working in both our current system and the new ctcLink environment.

    Student Help and Resources:

  • Student Email Sept. 01, 2021: New Registration & Student System Coming Oct. 2021

    Dear BTC Students,

We hope your summer is going well. As you plan ahead for attending in Fall Quarter, we want to make you aware of a significant change coming in October. On October 25, 2021, BTC will move to a new system for student registration and self-service called ctcLink.

ctcLink will provide a set of mobile-friendly tools for you to manage your college business online. It will allow you to:

    • View or update your student information and manage personal contact info.
    • Register for classes, add, and drop.
    • Pay tuition and fees and handle financial aid processes.
    • View your grades, track academic goals, and apply for graduation.
    • Contact your instructors or advisor.
Employees Are Now Training and Testing

College employee members are now building the new system, training, verifying data, and testing to ensure it is ready to use. You may notice a slowdown in responsiveness, processing information, or day-to-day activities in some offices and services over the coming months and up to “go live” (which is the activation date of our new system).

We are committed to meeting your needs during the transition and ask for your patience as employees are working in both our current system and the new ctcLink environment.

More Details in Fall Quarter in Your Student Email

In September and October, as we get closer to the Go-Live date of October 25, you'll receive more information. For now, we simply want you to be aware of this upcoming change. If you want to learn more, go to our student ctclink webpage: www.btc.edu/AboutBTC/ctcLink.html#InformationforStudents

We’ve also developed a one-page document that has a general overview of the project and what you can expect.

Use BTC’s Calendar to Plan Ahead for Fall Quarter

Be sure to continue to check important registration dates and deadlines at www.btc.edu

Our refund policy is located in the 2021-2022 Academic Catalog under Refund Policy

We are excited about the improvements ctcLink will bring to your experience at Bellingham Technical College. All the best to you for the rest of the quarter.

Registration Tips

We've developed a list of four important tips that will help you get the most out of ctcLink when registering for classes.

  • Do I really need a permission number for every class? (No, not for every class.)
  • Make sure to select the appropriate academic term.
  • Remember to include Common Course Numbered (CCN) classes in your search.
  • Don't forget to uncheck the “See Open Classes Only” box.

Learn more in the next section about Registration in ctcLink.
Review How to Browse & Search for Classes.

Navigating and Using ctcLink

Your ctcLink account gives you access to the following applications:

  • "Manage Classes": Class Enrollments and registrations
  • "Financial Aid": Manage financial aid awards and applications.
  • "Academic Records": View past classes with grades and get unofficial transcripts.
  • "Profile": View or update personal information.

This section is intended to highlight some important tips that will help you get the most out of ctcLink when registering for classes. Class schedules are available at myBTC after November 15.

Before you begin, we encourage you to review How to Browse & Search for Classes:

Do I really need a permission number for every class?

There is some confusion about when students need to request permission numbers (formerly known as entry codes) because the Permission Number Box automatically appears on the registration page. You do not need a permission number for every class. We encourage you to go through the process to register for your courses, and if you need a permission number, the system will inform you after you click the Enroll Button.

Please note all the colleges are sharing informational material. You may see other colleges' logos. However, the directions also apply to BTC.

screen capture of ctcLink desktop and mobile app with a box for permission numbers

Course permission numbers (formerly known as entry codes) will be available when registration opens and can be obtained at your college in the same way they were previously available. For more information, visit the BTC Registration website.

Make sure to select the appropriate academic term.

ctcLink defaults to the current academic term, so make sure to select the appropriate academic term in the term dropdown menu when searching for classes during registration. (Refer to Step 4 of How to Browse & Search for Classes)

screen capture of ctcLink app where you select the academic term you want

You must be logged in to enroll in a class or add a class to your Shopping Cart or Planner.

If you have applied or are a current student, make sure to log in to your account before searching so you can search and enroll at the same time. (Refer to Steps 3 and 4 of How to Browse & Search for Classes)

To log in:

  1. Click the 3-line menu (hamburger button) at the top left.
  2. Click the college logo.
  3. Click ctcLink Login.
  4. Enter your ctcLink ID and password. Then click Sign In.
  5. Click the Class Information icon on the left navigation bar.
  6. Click Class Search.

screen capture of log in steps

Use "Subject Begins with:" to include Common Course Numbered (CCN) classes in your search.

Common Course Numbered (CCN) classes are listed as a separate subject. When searching for classes, don't forget the "&" to see all classes available in a subject. For example, you will want to search for classes in both CHEM (Chemistry) and CHEM& (Chemistry CCN). Additional examples: BUS (Business) and BUS& (Business CCN) or MUS (Music) and MUS& (Music CCN), among many others.

Use the "Subject Begins with:" filter and type in the two-to-five character subject to see ALL classes for subjects that have CCN and non-CCN courses. (Refer to Steps 5 and 6 of How to Browse & Search for Classes)

screen capture of ctcLink app where you select the Subject Begins with: filter to see both CCN and non-CCN courses

About the “Show Open Classes Only” box.

ctcLink defaults to showing all classes including those that may be closed. This can be important if you want to get on a waiting list. If you only want to see open classes, check the “Show Open Classes Only” box,  (See image above and Refer to Step 10 of How to Browse & Search for Classes)

Your search layout depends on the size of your screen.

The way your search layout appears may look different on your phone or mobile device, a tablet, and a desktop computer. The layout is dynamic and changes to fit your screen.

Note: mobile app screen and desktop screen captures below. To get back to the menu, look for the three lines or "hamburger" menu icon.

Some students are encountering an issue in ctcLink where they are unable to make a credit card payment for tuition and fees.

Try this first:
  • Use a web browser instead of the mobile app, and go to ctcLink Sign In to login and pay.

  • Use the Firefox or Safari browsers (instead of Google Chrome).

  • Turn off the pop-up blocker on your browser.

  • Try clearing your browser’s cache.

Try this second:

If you are using Chrome 80 and using another browser such as Firefox of Safari doesn't work, you can try the following process offered by the SBCTC:

  • In your Chrome browser, go to: chrome://flags
  • Set "SameSite by default cookies" to Disabled
  • Set "Cookies without SameSite must be secure" to Disabled

Try this last:

If you continue to have problems, we encourage you to reach out to the cashiering office at BTC.

ctcLink displays more information to students about tuition and fees than BTC’s previous system. One big change is that tuition is now shown split out into the OperatingBuilding, and S&A (Services and Activities) components.

State supported classes charge operating, building, and S&A fees as tuition.

  • Operating fee: A tuition fee that supports school operations locally.
  • Building fee: A tuition fee that supports infrastructure and innovation statewide. This tuition fee is charged for in-person and online classes.
  • S&A fee: A tuition services and activity fee used to cover student activities and programs locally.

BTC follows the State Board for Community and Technical Colleges (SBCTC) tuition and fees policies, which generally describe the amounts that are charged for different types of classes and students. More information is available at the SBCTC tuition and fees web page.

Resident Student Tuition

Previously, resident students may have only seen a charge of $600.85 for a 5-unit class. While the charge amount remains the same, now in ctcLink, resident students will see separate charges for:

Tuition per unit:

  • Resident Operating Fee (1-10 units) - $91.74
  • Resident Building Fee (1-10 units) - $12.38
  • Resident S&A Fee (1-10 units) - $6.02

Mandatory Fees per unit:

  • General Processing Fee - $1.33
  • Technology Fee - $5.90
  • e-Learning fee - $1.80
  • ASB Center - $1.00 – up to 18 units

The total charged to the student remains $600.85 for 5 units.

Below is an example of a typical set of charges for a resident student in one 5 unit class.

 resident tuition sample image

Non-Resident Student Tuition

Non-Resident Students will see additional charges as part of SBCTC policy. You can see full details online.

  • NonResident Operating Fee: Non-resident students may see both an ‘Operating Fee’ and an ‘Operating Fee Diff’. The ‘Diff’ fee is the differential between the resident and non-resident rate.
  • NonResident Building Fee: Non-resident students will see two ‘NonResident Building’ charges. One is the charge at the Resident rate, and the other is the non-resident differential.

Below is an example of a typical Non-Resident Student Account screen:

  • How do tuition and fees appear in ctcLink?

ctcLink displays more information to students about tuition and fees than Bellingham Technical  College's previous system. One big change is that tuition is now shown split out into the OperatingBuilding, and S&A (Services and Activities) components.

For details go to the Tuition and Fees in ctcLink section above.

Bellingham Technical College follows the State Board for Community and Technical Colleges (SBCTC) tuition and fees policies, which generally describe the amounts that are charged for different types of classes and students. More information is available at the SBCTC tuition and fees web page.

  • What if my tuition and fee charges don't appear?

It is possible this could happen if you are using the mobile app for ctcLink. If this happens:

    1. Go to the main ctcLink Sign In instead of using the app.

    2. Select ‘Student Homepage’

    3. Select ‘Financial Account’

This should fix the issue and you should be able to see your account charges.
  • What if I encounter problems when I try to pay tuition with my credit card?

We are aware that some students have encountered problems when trying to pay tuition through a credit card transaction in ctcLink.

If you encounter this problem, try the tips below:

  • Where can I get my 2020 1098-T Forms?

Student 1098-T forms are not available in ctcLink. Students may go to BTC's Tax Credit document to learn more and to access their 2020 and past 1098-T forms.

2021 and forward will be available in ctcLink. To receive Student 1098-T forms from 2019 and back you will need to email the Business Office.

  • How do I get the app for my mobile phone or devices?

One exciting feature of ctcLink is an app you can use on your mobile devices. Search the app store (iPhone) or play store (Android) on your mobile device for “ctcLink” to download and install this free app today. After you activate your ctcLink account, you’ll be able to access ctcLink directly through your mobile device using this app.

Note: You must activate your ctcLink account before using the mobile app or its web-based version.

  • What can I do in ctcLink, Canvas, and myBTC?

You will use a combination of ctcLink, Canvas, and myBTC while you’re a student at Bellingham Technical College. The guide below provides a brief overview of what each system is for, along with relevant resources and login information.

Student Links: ctcLink, Canvas, myBTC: Student Account Information

  • Does the move to ctcLink affect how I register for Continuing Education (CE) classes?

No, students taking a class with Continuing Education will continue to register directly at Take A Class. As a Continuing Education (CE) student, you will not register, add or drop classes in ctcLink.

Related Questions for Continuing Education (CE) Students

Q: Will anything change for me as a CE student?
A:  Yes, if you are a current student, you will be assigned a new ID number on November 15, 2021a ctcLink ID—and, after launch, all new incoming students will receive a ctcLink ID. This new ID will be used whether you register for classes at Bellingham Technical College, as well as at all Washington community and technical colleges.

Q: Will I need to do anything to activate my new ctcLink ID?
A: No. You will register for a CE class through the CE websites. The college's CE office will look up your ctcLink ID and term activate you to complete your registration and payment. You will only need to activate your ctcLink ID if you are also taking academic classes which require you to register through ctcLink. Note: if there are other functions where you will need to use ctcLink, CE employees will send you the information on how to activate your ctcLink ID and login to the system. However, in most cases, CE students will not need to login to that system.

Q: Will I still use my SID when I register for classes?
A: No. After you register for a class with Continuing Education, your new ctcLink ID will be included in your confirmation email. You will use your ctcLink ID for all future registrations.

Q: Does logging in to Canvas change?
A: Students, faculty, and employees will continue to use Canvas, our learning management system (LMS). Students will be encouraged to use their new ctcLink ID. New students without a SID will only use their ctcLink ID to access Canvas.

  • Do I use ctcLink to report time I have worked as a student employee of Bellingham Technical College?

Yes. Student employees need to use ctcLink to report their time worked so they can get paid.

  • Do I need a permission number for every class?
