Rental Facilities

Bellingham Technical College is pleased to offer campus facilities to the community. BTC offers free parking, free wireless internet, and a smoke-free environment.

Rental Policies

Scheduling

BTC may have limited access during the academic school year.

Reservations for rentals may be scheduled up to 6 months in advance of requested date(s).

Facilities are not available for scheduling on the following holidays: New Year’s Day, Easter, Independence Day, Thanksgiving Day, and Christmas Day.

Additional charges (staff time) may be assessed for the following recognized state holidays: Martin Luther King Jr. Day, President’s Day, Memorial Day, Juneteenth Day, Labor Day, Veteran’s Day, and Native American Heritage Day.

Facility Inspection

The renter has a reasonable opportunity to inspect the facilities to be rented and agrees to rent them as is. The College provides no warranty that the facilities to be rented are appropriate or suitable for the renter's intended use.

Supervision

The College will not, provide supervision of the rental facilities, with the exception of the use of special facilities. Pursuant to WAC 495B-140-11, when the use of special facilities makes it necessary that supervision be provided, the College reserves the right to require that a staff member represent the college at any activity on college facilities. Such service shall be paid at the current rate by the organization requesting use of the facility and does not relieve the organization from safeguarding the college’s property.

The renter shall exercise appropriate supervision and control over the rented facilities. The renter is responsible for safe working conditions and for any injuries or damage arising out of or resulting from the renter's use of College facilities, including any damage to College property. Unless otherwise arranged, the renter is responsible for returning the rented facilities to the condition in which they were found.

Conduct

Pursuant to WAC 495B-140-11, signatories of the rental agreement, as well as adult organization leaders, are responsible for group conduct and are expected to remain with their group during activities.

Equipment

Arrangements for the use of College equipment or services must be made prior to the rental date. The use of any College equipment will be on an "as is" basis. The College provides no warranty that any College equipment used by the renter will be appropriate or suitable for the renter's intended use, unless otherwise agreed to in writing. Unless otherwise arranged, the renter is responsible for returning College equipment in the condition in which it was found. The renter is responsible for any injuries or damage arising out of or resulting from the renter's use of College equipment, including any damage to College property. The College will not, absent some other express agreement, be providing supervision of the renter's equipment.

Liability

Each party shall be responsible for damages to persons or property resulting from negligence on the part of itself, its employees, or its officers. The College assumes no responsibility to the renter for the consequences of any act or omission of any third party. The renter is responsible for damages incurred by third parties (including invitees of renter) during their possession of the premises.

Insurance

As a condition of rental, the College may require proof of insurance from the renter.

Use Restriction

The College reserves the right to prohibit the use of facilities by groups which restrict membership or participation in a manner inconsistent with the College's commitment to nondiscrimination as set forth in its written policies and rules. No use other than what is specified in this agreement is to occur.

Alcohol

The use of any alcoholic beverage is extremely restricted on BTC’s campus or for any BTC activity.  The use of alcoholic beverages (beer & wine only) requires prior permission by the President and a banquet permit or special occasion license. Per the College’s alcoholic beverage policy approval should be requested at least three weeks prior to the date of the event.

Authority to Sign

The individual who signs on behalf of the renting organization affirms that he or she has authority to sign on behalf of that organization. Pursuant to WAC 495B-140-100, this individual is responsible for the organization’s debt if the organization fails to pay amount due.

Food

BTC currently allows off-premises caterers of the renters choosing. Cooking and preparation of food onsite is not permitted in any circumstance for events.

Smoking Policy

Smoking is discouraged but permitted on campus according to the following guidelines: There are four (4) designated areas located around the campus where it is permissible for students, staff, faculty and guests to smoke while on BTC property: next to G Building, J Building, U Building, and in the MC parking lot. A map of designated smoking areas is available upon request.

Rates listed below are for rentals scheduled Monday through Saturday between the hours of 8:00 a.m. – 5:00 p.m. Events held after 5:00 p.m. on weekdays and Saturdays may be subject to additional fees.

Equipment Included in Rental Rates

All room rentals include set up of tables & chairs.

Wireless internet is available free of charge throughout the campus.

The cafeteria, G building 102A & 103B, and Campus Center 119 & 120 room rate is based on the following standard equipment: white boards, screen, data/video ceiling projector, audio playback system, and teaching station (computer and lectern) and public address system.

Settlemyer Hall room rate is based on the following standard equipment: data/video ceiling projector, monitor display screens, audio playback system, teaching station (computer and lectern).

 

Additional Charges

Custodial Services

If the clean-up can be covered within the normal, routine schedule of facilities, then no additional fees will be charged. If the clean-up cannot be completed within the normal, routine schedule of the custodians, then an additional fee of $45.00 per hour ($90 per hour on Sundays) will be charged for the additional time required.

Media and Computer Support

A media fee of $240 is applied to all bookings.  This fee will include:

Use of AV systems room lecterns and/or computer, projection screen, podium/stage and two wireless microphones, 1 hour of setup time, login of lectern computer and room projector along with training time for client on use of AV equipment.

This fee does not include Media Tech for event.  Media support needed for event will be bill at $60/hour.  Event support must be established in writing 5 working days in advance.

 

Deposit

For events requiring large expenditures on the part of the college, or significant areas blocked out for the renter, an advance deposit of up to 50% is required at the time of application. All other rentals require a 25% (minimum of $50) advance deposit at the time of application.

 

Invoicing and Payment

All charges will be billed to the contracting party following the event and are due within 10 days of receipt of invoice.

Damages to facilities will be billed on repair or replacement basis.

A rental is fully executed when both parties have signed the rental agreement.

 

Cancellation and Refund Policy

All cancellations must be received in writing. Cancellations made within five working days of the scheduled event will be refunded 100% of the deposit. Cancellations made less than five working days but more than 24 hours before the event will be refunded at 50%. Cancellations made less than 24 hours before the scheduled event will not be refunded at all.

 

Rental Restrictions

Room rentals are available on a first come, first serve basis with priority given to college related activities. The college reserves the right to deny facility rental to anyone based on historical experience, events deemed to be not in alignment with public facility use priorities or reference checks consistent with Federal and State laws.

 

Event Parking

Parking on campus is free of charge with the following restrictions:

  • Guests of event may use General Student Parking (unpermitted lots) or street parking available on a first come first serve basis.
  • ADA parking is available, and that information can be shared in advance by BTC staff.
  • $30 tickets will be issued by Facilities staff for parking violations in permitted lots. These tickets are payable within five business days of ticket date.
